Rate schedules

Route: /agreements (Rate schedules section) · Roles to edit: finance, admin (everyone can read)

A rate schedule is an hourly rate for an engineer, optionally overridden for a customer or a single project, effective from a date. Rates are what turn hours into money during billing.

Create a rate

  1. Open Agreements and rates.

  2. In the Rate schedules section header, click New rate.

  3. Fill in:

    FieldNotes
EngineerRequired. The rate belongs to this person.
ScopeEngineer default, Customer override, or Project override.
Customer / ProjectShown when the scope needs it.
    RateDecimal hourly amount.
    CurrencyEUR, GBP, or USD.
Effective fromThe date the rate starts applying (YYYY-MM-DD).
  4. Click Create rate.

The table lists every rate with its engineer, scope, target, amount, and effective date.

How a rate is chosen

For a given engineer + project + date, the engine resolves the most specific matching rate:

  1. Project override for this engineer and project.
  2. Else customer override for this engineer and customer.
  3. Else the engineer's default rate.

The first one, effective on the service date, wins. Overrides exist so you can price bespoke work without changing someone's standard rate.

Example

  • Amara's default rate is €150/h.
  • Acme is a strategic customer priced at €120/h → add an engineer=Amara, customer=Acme override.
  • A legacy project still bills at €100/h → add an engineer=Amara, project=Legacy override.

Amara's time on Legacy bills at €100/h; other Acme work at €120/h; everything else at €150/h.

Rules to remember

  • Rates are time-versioned: only schedules effective on or before the service date are considered.
  • A missing rate means the hours cannot be priced — set a default per engineer.
  • Rates, like everything commercial, are audited.
